Your enquiry and the details of your journey deserve discretion. This notice explains how we handle personal information when you contact us, use this website or arrange a service.
Information you share
We collect your name, email address, phone number and the information you provide about your enquiry. When arranging a service, this may include passenger details, travel dates, pickup and destination details, flight information, preferences and instructions needed to coordinate the booking.
Information may come directly from you or from an authorised person arranging services on your behalf, such as an executive assistant, family office or event organiser. Please share only what is necessary. Do not send payment card details, identity documents or detailed security information through the general website enquiry form.
How we use your information
We use enquiry details to respond, prepare proposals, arrange services, communicate operational changes and maintain relevant business records. We may also use information to manage safety, resolve queries and meet applicable legal obligations.
Who receives job details
Our operational team accesses customer enquiries within Australia. When a job is dispatched, the provider receives the job details needed to deliver that service, rather than access to the wider enquiry record.
Depending on your booking, relevant details may be shared with chauffeurs, transport operators, security partners, aviation providers, airport assistance providers or other suppliers involved in the agreed service. Information may also be disclosed where required or authorised by law.
Optional marketing
Submitting an enquiry does not subscribe you to marketing. The website offers a separate, optional email marketing checkbox. If you choose to subscribe, we may email you about IDWT services and experiences. You can unsubscribe at any time using the link in a marketing email or by contacting us.
Service-related messages about an enquiry or booking are separate from marketing. The website email checkbox does not provide consent to SMS marketing.
Website technology and cookies
This website uses Wix to operate its pages and enquiry forms. Essential technologies support security, form delivery and basic site functions. Our default consent settings disable optional analytics, advertising and third-party data-sharing categories. Optional tracking will only be enabled after a suitable consent choice is available. Technical information needed to operate and protect the website may include browser and device details and connection information.
Our operational team is based in Australia, but our technology providers may process or store personal information overseas. Wix identifies Israel as its initial processing location and uses entities and infrastructure in countries including the United States and Ireland, with other locations depending on the service. Our email provider may also process information on global infrastructure. These arrangements are separate from access by our Australian operational team. Wix publishes its current provider and location information in its sub-processor list. You can contact us for information about the providers used for your enquiry.
Keeping information
We take reasonable steps to protect personal information against misuse, loss and unauthorised access or disclosure. No online service can guarantee absolute security.
For enquiries that do not become bookings, our policy is to delete or de-identify personal information after 12 months from the last meaningful contact, unless the enquiry remains active or there is a legal reason to retain it. Booking and accounting records are handled separately according to their purpose and applicable retention requirements. Separately opted-in marketing records are managed independently of enquiry records.
Access, corrections and privacy concerns
To request access to or correction of your personal information, withdraw marketing consent or raise a privacy concern, email bookings@idwtcollective.com.au or call +61 489 266 633. Please explain your request without including unnecessary sensitive information. We may need to verify your identity before releasing or changing records.
